It seem to be set in stone that if you are a school considering changing payroll provider or moving away from the LEA that you will definitely do this in September or April.
At Dataplan Education we see an influx of clients in September and we are of course delighted to see new clients that we can look after and build a lasting relationship with. We do however have some schools who break this trend.

These are the schools that transfer to Dataplan at different times of the year, perhaps when both parties are a little less busy. The following points are worth considering when moving payroll provider:
• When are the school holidays – Moving provider will need to be worked around the school holidays. It would not be wise to transfer if no one is available to assist and answer questions.
• When will other schools be transferring – If the majority of schools are moving in September or April, would it be wise to make your change in a less busy period?
• Do you have a peak in workloads – Consider when internal workloads arise in your school, for example the schools financial year end may take up a lot of the finance team’s time. These people may need to be involved in the project.
• Notice period with LEA or current provider – How much notice period do you have to give? Or does your contract run out on a certain date if you do not renew?
• Do you require parallel runs – How many parallel runs do you require, if you want to go live in September does your contract need to start 2 or 3 months before this?
School’s do have restrictions on moving payroll provider for example school holidays but there are different times of the year where the transfer may work better for your school. Prospect payroll providers will be happy to construct a comprehensive project plan that best suits your needs when transferring.
